ClientQ ("we," "us") provides WhatsApp-based appointment booking software to clinics in India. This policy explains how we handle personal data belonging to (a) patients who book appointments through a clinic's WhatsApp number using ClientQ, and (b) doctors and clinic staff who use our dashboard. It is written to comply with India's Digital Personal Data Protection Act, 2023 (DPDP Act).

1. Who this policy covers

This policy applies to patients booking appointments via a clinic's WhatsApp number, and to doctors and clinic staff using the ClientQ dashboard.

2. What data we collect

We do not collect payment information, medical history, or treatment details — ClientQ only manages scheduling.

3. Why we collect it

Solely to operate the appointment booking service: finding and confirming available slots, sending confirmations and reminders, and tracking no-shows for the specific clinic the patient is messaging. We do not use patient data for advertising, profiling, or any purpose unrelated to booking that clinic's appointments.

4. Basis for processing

Before a patient's first booking is completed, ClientQ sends a consent message explaining what data is collected and why, and requires explicit confirmation before proceeding. This consent — along with the date and time it was given — is recorded and stored against the patient's record, in line with the DPDP Act's requirement for consent given through clear affirmative action for a specified purpose. Subsequent bookings by the same patient rely on this recorded consent unless it is withdrawn.

5. Where your data is stored

All patient and clinic data is stored on a server located in Mumbai, India. We do not transfer personal data outside India.

6. Who can access your data

Access is limited to: (a) the specific clinic the patient is booking with, and (b) ClientQ personnel, only as needed to operate and maintain the service. We do not sell, rent, or share data with advertisers or unrelated third parties. Messages are transmitted via the WhatsApp Business Platform (operated by Meta), which is also subject to WhatsApp's own privacy policy.

7. How long we keep it

Data is retained for as long as the clinic remains an active ClientQ subscriber, or as needed to maintain appointment history. A clinic may request deletion of its patient data at any time, subject to any legal record-keeping requirements.

8. Your rights as a data principal

Under the DPDP Act, you have the right to: access the personal data we hold about you; request correction or erasure of your data; withdraw consent at any time; and file a grievance regarding how your data is handled. To exercise any of these, contact us at the details below.

9. Grievance redressal

10. Bookings on behalf of minors

Where a patient is a minor, ClientQ requests explicit consent from a parent or legal guardian before completing the booking. This consent is recorded in the same way as consent from adult patients, and is not assumed.

11. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top will reflect the most recent revision.
